Privacy Policy
Last updated: 2 September 2026 · Applies to the Sports Academy platform, sportsacademy.sa, and every public academy page hosted on it.
This platform is the tool sports academies use to run their operations: player registration, attendance, subscriptions, payments and communication. It handles personal data, much of it belonging to minors. This page explains what we collect, why, who we share it with, and how you control it.
1 · Who is responsible for your data
- The academy owns and controls the data of its players and staff. It decides what is entered, published and deleted.
- We are the technology provider: we host, secure and process that data on the academy's instructions, never for our own purposes.
If you are a player, parent or staff member, address requests about your data to your academy first. We support them in carrying it out.
2 · What we collect
| Category | Data | Why |
|---|---|---|
| Account | Name, mobile, email, password (hashed, irreversible), account type | Sign-in and permissions |
| Player | Date of birth, gender, optional photo, guardian and guardian's phone, health notes if the academy enters them | Registration, age grouping, safety |
| Activity | Attendance, performance ratings, subscriptions, bookings | Running the academy and its reports |
| Smart attendance | Location and a photo at check-in — only when the academy enables it and you consent at use | Proving on-site attendance |
| Payments | Transaction amount, status and reference | Billing and receipts |
| Technical | IP address, browser, sign-in times, error logs | Security and abuse detection |
3 · Children's data
- A minor's data is registered by their guardian or their academy; guardian consent is required.
- No player's data is shown publicly unless the academy explicitly publishes it. The default is not published.
- We never use minors' data for marketing or advertising, and never sell it.
- A guardian may at any time request access to, correction of, or deletion of their child's data.
4 · WhatsApp and messaging
The platform uses Meta's WhatsApp Business Platform to send operational notifications — registration confirmations, subscription reminders, absence alerts — and to answer your enquiries.
- Your phone number and message content are passed to Meta for delivery and are also subject to Meta's privacy policy.
- We send marketing messages only with your consent; reply STOP to opt out.
- When you message us, the conversation is retained to support you.
5 · Who we share data with
We do not sell, rent or trade your data. Ever. We share it only:
- Your academy — which sees only its own members. Each academy's data is fully isolated from every other.
- Payment gateways — to process payments.
- Meta — to deliver WhatsApp messages.
- Our hosting provider — to run the servers.
- Competent authorities — where legally required.
6 · How we protect it
- All traffic encrypted over HTTPS.
- Passwords stored as one-way hashes — we cannot see or recover them.
- Role-based access: each person sees only what their job requires.
- Strict isolation between academies, enforced in code, not just in the interface.
- Regular backups and audit logs for sensitive operations.
No system is perfectly secure. If a breach affects your data, we will notify those affected and the competent authorities as required by law.
7 · Retention
- Account and activity data: while the account remains active.
- Financial records: for the period accounting and tax law requires.
- Technical logs: a short period sufficient for security and troubleshooting.
When an academy closes its account, its data is deleted or anonymised within a reasonable period, except what must be retained by law.
8 · Your rights
Under the Personal Data Protection Law of the Kingdom of Saudi Arabia, you may:
- Know what data we hold about you and access it.
- Request correction of inaccurate or incomplete data.
- Request deletion where there is no lawful basis to keep it.
- Withdraw consent where processing relies on consent.
- Obtain a copy of your data.
- Complain to the competent authority.
To exercise any of these, contact us below or your academy directly. We respond within 30 days at the latest.
9 · Cookies
We use strictly necessary cookies only: keeping your session open, remembering your language, and protecting forms against forgery. We use no advertising or tracking cookies and share no behavioural data with advertisers. You may block them in your browser, but sign-in will not work without them.
10 · Changes
We may update this policy. The "Last updated" date above changes with every revision, and we notify users of material changes through the platform or by email.
